Upload the document, say who signs and send it. Each person signs from their phone or computer using an email link and an SMS code, with nothing to install. SignaSuite is a platform for companies.
To sign a document online, upload it to an electronic signature platform, say who must sign and send it to them. Each person opens it with a link, confirms their identity and signs from their phone or computer. A record of what happened remains, which serves as proof if anyone disputes the signature.
SignaSuite is designed for companies that send documents for signature, and sending them requires a paid account. It is not a free tool for signing a single PDF.
If someone has sent you a document through SignaSuite, you only need to open the link in the email: no account or subscription is required.
If you need to sign a procedure with the public administration in Spain, see the Autofirma application on the official electronic signature portal. In another country, see our guides to electronic signature in Latin America.
Meanwhile, the dashboard shows which documents are pending, signed or rejected, and you can resend reminders. If you send the same document to many people, use bulk sending. If you always repeat the same ones, templates save you from redoing each submission. See more in send documents for signature.
The eIDAS Regulation, which applies in the European Union, distinguishes three levels. Which one you choose depends on the document, the risk and what the applicable law requires.
| Type | What it is | Its limit |
|---|---|---|
| Simple | Electronic data the signer uses to sign. | It cannot be denied effect or admissibility as evidence for being electronic, but if disputed you will have to prove who signed and that the document did not change. |
| Advanced | Uniquely linked to the signer, able to identify them, created under their sole control and able to detect later changes (Art. 26). | It is not legally equivalent to a handwritten signature. |
| Qualified | Advanced, created with a qualified device and based on a qualified certificate (Art. 3.12). | The only one equivalent to a handwritten signature (Art. 25.2). It asks more of the signer. |
Signing with SignaSuite uses the email link and an SMS code, with no certificate. If your document requires a qualified signature, tell us before sending it and we will look at the right option. More detail in the eIDAS electronic signature guide.
Some acts are subject by law to a special form, such as a public deed, and outside the EU the rules change. If you sell or contract in another country, see the country guides. This page is for information only: for a specific case, consult your adviser.
A signature is worth what you can prove if someone disputes it. With SignaSuite, each signed document comes with:
In Spain, Law 6/2020 refers the proof of these documents to Article 326 of the Civil Procedure Act. If a qualified service is used and the document is challenged, it is presumed to have the disputed characteristic and the check falls to the challenger; with a non-qualified service, the general rules of evidence apply.
You need an electronic signature tool. In SignaSuite, a company uploads the PDF, adds the signers and sends it. Each signer opens the email link, confirms with an SMS code and signs, with nothing to install.
SignaSuite is not a free tool for signing a single PDF. Sending documents for signature requires a paid company account; plans are on the pricing page. People who receive a document to sign do not need an account or subscription.
Not always. Electronic signature is the broad term used by the eIDAS Regulation. Digital signature usually means one based on a certificate, and its legal meaning varies by country. That is why you should check what the law applicable to your document requires.
In the EU, a signature cannot be denied legal effect or admissibility as evidence just because it is electronic, but only a qualified signature is legally equivalent to a handwritten one. Some documents have their own formal requirements. Outside the EU it depends on each country.
SignaSuite records each action, including who, when and from where, adds a qualified timestamp and generates an evidence report you can download along with the signed document.
Not to sign with SignaSuite by email and SMS. You do need a certificate if the law or the recipient requires a signature based on one, as can happen in procedures with public authorities.
